Who we are
Roam is a UK-based sole trader and the data controller for the personal data described below. Contact us at hello@roamcareers.com.
What we collect
When you request Roam Matches, we collect your name, email, CV, optional LinkedIn profile, and the answers you give in our questionnaire — including details like your current country, work authorisation, and salary expectations. We collect this because it's what lets us match you to genuinely suitable remote roles; we don't collect more than that.
Our lawful basis for using it
Our lawful basis for processing your personal information is that it's necessary to perform the contract between you and us (Article 6(1)(b) UK GDPR) — you're asking us to build you Roam Matches, and we need your CV and questionnaire answers to do that. Where we're legally required to keep records, such as payment history, we rely on our legal obligation to do so (Article 6(1)(c)).
How we use it
Your CV and questionnaire answers are used to build your Roam Matches and Roam Shortlistreports. We securely process the contents of your CV using Anthropic's AI services to help create a structured summary of your skills and experience, purely to help match you to relevant roles — this only ever involves the extracted text, never the original file. Our AI Sourcing Assistant then uses that summary alongside your questionnaire answers to help find candidate roles, which a person at Roamalways reviews before anything reaches you. We don't make your CV publicly available or share it with employers.
Marketing emails
If you tick the box when submitting your details, we'll send you a weekly Roam Matches email of curated remote roles matched to your profile. This is entirely optional, separate from Roam Shortlistitself, and based on your explicit consent (Article 6(1)(a) UK GDPR) — not something we assume by default. You can unsubscribe at any time via the link in every email, and doing so won't affect any Roam Shortlist purchase in any way.
Automated decision-making
Although we use AI tools to help analyse CVs and identify potential opportunities, no solely automated decisions are made about you. Every recommendation is reviewed by a person before being included in your report.
Who we share it with
We use a small number of processors to run Roam: Supabase (database and file storage), Stripe (payments), Resend (email delivery), Anthropic (extracting a skills/ experience summary from your CV text, and AI-assisted job sourcing), and Vercel (hosting). We don't sell your data. Some of these processors (Anthropic and Stripe) are based in the US — where that means your data leaves the UK/EU, we rely on Standard Contractual Clauses with that processor to keep it protected to UK GDPR standards.
Cookies
We use essential cookies only — to keep you signed in to your dashboard or admin account. We don't currently use any analytics, advertising, or marketing cookies. If that changes, we'll ask for your consent first wherever the law requires it.
Security
We use appropriate technical and organisational measures to protect your personal information, including encrypted connections, secure hosting, and restricted access to customer data.
Your CV file
Your CV is stored privately and is never publicly accessible. We never send it as an email attachment — any link to it is a short-lived, signed link only you (or our admin team) can use.
How long we keep your data
We keep your CV, questionnaire answers, and reports for as long as your account is active, and for 24 months after your last activity with us if you don't ask us to delete it sooner. Payment records are kept for 6 years, as UK tax law requires.
Your rights
You can ask us to delete your data at any time by emailing hello@roamcareers.com. We'll remove your CV, questionnaire answers, and reports, except where we need to keep limited records (such as payment history) for legal or accounting reasons. You also have the right to access, correct (rectify), export (port), object to, or restrict our processing of your data — email us and we'll act on it. You can complain to the UK Information Commissioner's Office (ico.org.uk) if you think we've mishandled it.
